Most guest list managers are judged on a one-day wedding: one list, one yes or no. A wedding weekend is different. The mehndi list, the sangeet list and the reception list overlap but aren't the same, two families are adding names, and someone has to turn all of it into one honest headcount per event. Here's what to test, how five tools do on those tests, and how to bring a family spreadsheet in without doubling anyone.

*Audience: For couples, parents and planners running a wedding with several events (mehndi, sangeet, wedding, reception, or a welcome dinner and brunch), mostly in the US, Canada and the UK - Prices and features checked November 3, 2026*

Prices and features checked November 3, 2026. PlanMe.Club is our product, and it's ranked first below because it's built for this kind of weekend. So every claim about another tool links to that company's own help center or product page, every tool gets a "best for" line and at least one thing it does better than PlanMe, and anything a company doesn't document is marked as not documented rather than guessed.

The examples use a mehndi, sangeet, wedding and reception, the shape we see most. The same checks work for a haldi, a garba, a nikah and walima, a jaggo before an Anand Karaj, or a non-Desi weekend with a welcome party and a Sunday brunch. Swap in your own events or functions.

## The short answer

Good news first: per-event invitations are no longer rare. All five tools below let you keep one master list, tick which events each guest is invited to, and collect an RSVP per event. They differ in four places: what an uninvited guest can see, whether both families get their own logins, how duplicates are caught, and where texting works.

- **You want guests, per-event RSVPs, seating, budget and family logins in one plan:** PlanMe.
- **You want a polished free website with a personalized schedule:** Joy.
- **You want the easiest import from a messy spreadsheet and a registry:** Zola, with the acquisition caveat below.
- **The weekend runs on WhatsApp and guests need rooms and pickups:** Phera.
- **You're still hiring vendors and want one free account for it all:** The Knot.

If you need a guest list manager for something other than a wedding, like a conference or a birthday, our [guest management](https://www.planme.club/features/guest-management) page covers that. This guide is about weddings with several events.

## What a multi-event guest list manager must do: 7 checks

People on Reddit keep asking the same few questions. One r/wedding thread is titled simply ["Best App/Website to manage guest lists with multiple wedding events"](https://www.reddit.com/r/wedding/comments/1116z21/best_appwebsite_to_manage_guest_lists_with/). In a February 2026 r/weddingplanning post asking for the [best website for versatile online RSVPs](https://www.reddit.com/r/weddingplanning/comments/1r20yi9/best_website_for_versatile_online_rsvps/), the couple's first two must-haves were a portal that groups everyone on the same invitation ("couples and families") and an RSVP for multiple events. Older threads like ["Best wedding planning/guest list app?"](https://www.reddit.com/r/weddingplanning/comments/owo8tm/best_wedding_planningguest_list_app/) start from scratch. Turn those requests into a test you can run on any tool in about 20 minutes:

1. **Households.** Can you group a family so one person replies for everyone, while each person still gets their own answer per event? Test with a family of four where the college-age son skips the mehndi because his flight lands that night.
2. **Per-event invitations from one list.** Can each guest be invited to some events and not others, without keeping four separate lists?
3. **Per-event counts, and what guests see.** Does each event show its own accepted, declined and pending numbers? And when Dad's reception-only colleague opens the website or the RSVP, can he tell that a mehndi exists?
4. **Duplicates on import.** Both families will add the same family friends, often with different spellings or a phone number with and without the country code. Does the tool catch them, or do you?
5. **Both families editing.** Can both mothers and a planner have their own logins, or does everyone share yours?
6. **Tags and messaging.** Can you tag by side (bride's, groom's, both) and message just one group, such as everyone who hasn't replied to the sangeet? Is texting extra, and does it reach numbers outside the US?
7. **Export.** Can you export the list with every event's answer, for the caterer, the venue or your own backup?

If your events are still on a whiteboard, sort out who goes where first. Our guide to [separate guest lists for each wedding event](https://www.planme.club/articles/separate-guest-lists-for-each-wedding-event) covers the rules, caps and tricky guests (fly-ins, colleagues, both-sides family friends).

## 1. PlanMe.Club: best when the whole weekend needs one plan

- **Best for:** Weddings with three or more events, guest lists that overlap, and both families or a planner working on the same plan.
- **Cost:** Free during beta. Paid plans are planned; pricing isn't final ([pricing](https://www.planme.club/pricing)).

PlanMe is a planning workspace, and the guest list is the center of it. In PlanMe each event of your wedding (mehndi, sangeet, wedding, reception) is called a [festivity](https://www.planme.club/features/festivities), with its own date, venue, schedule, dress code and menu. Against the seven checks:

- **Households and per-event invites.** Guests are grouped into households with a head guest, and each person has an accepted, declined or pending answer for each event they're invited to ([guest management](https://www.planme.club/features/guest-management)).
- **What guests see.** Each household gets a private RSVP link by email or text that shows only the events they're invited to, with no login and no app ([RSVP for multiple events](https://www.planme.club/rsvp-for-multiple-events)). The reception-only colleague never sees the mehndi.
- **Duplicates.** Import from CSV or Excel, match your columns, and duplicates are flagged as you import, before they land on the list.
- **Family logins.** Invite parents, siblings, a planner or vendors by email and choose which parts of the plan each person can use, so the caterer sees the menu and not the budget ([team and collaboration](https://www.planme.club/features/team-collaboration)).
- **Tags and messaging.** Tag by side or circle, then send an email or SMS broadcast to a tag such as "groom's side" or to everyone who hasn't replied ([guest email and SMS](https://www.planme.club/features/guest-messaging)).
- **Export.** Export the guest list as CSV whenever the caterer or venue asks.

The guest list then feeds the rest of the plan: a [seating chart](https://www.planme.club/features/seating-chart) for each event built from the guests who accepted (you seat people yourself; PDF and CSV exports for the venue), a [wedding website](https://www.planme.club/features/wedding-website) and [gift registry](https://www.planme.club/features/gift-registry), and one [budget](https://www.planme.club/features/budget) for the wedding split by category. If you plan events for others, save the setup as a [template](https://www.planme.club/features/event-templates).

*Tags by family side, used to filter the list and pick who gets a message. Fictional Anaya & Rohan showcase.*

Where PlanMe is weaker, so you can plan around it: it's new and still in beta. It sends email and SMS, not WhatsApp. There's no vendor marketplace, no custom domain (sites live at a planme.club address), no cash funds in the registry and no printed invitations. If any of those is a must, a tool below does it better.

## 2. Joy: best free site with a personalized schedule

- **Best for:** Couples who want a polished free website where every guest sees their own schedule, and who may need to text relatives abroad.
- **Cost:** Guest list manager, website and registry free ([Joy](https://withjoy.com/guest-list/)). Texting needs Messaging Plus, a one-time purchase ([Joy help](https://withjoy.com/help/en/articles/14480210-send-text-messages-to-your-guests-with-messaging-plus)).
- **Beats PlanMe on:** WhatsApp delivery to numbers outside the US and Canada, and a one-click merge for duplicates that keeps RSVP answers.

Joy handles multiple events better than its simple look suggests. You tag guests (for example "family" or "reception-only") or pick individuals, then choose which events and RSVP questions each tag can see, so each guest gets a personalized schedule and RSVP ([Joy: multiple events](https://withjoy.com/help/en/articles/11085588-how-can-i-use-joy-to-manage-rsvps-and-schedules-for-multiple-events-when-not-everyone-is-invited-to-every-event), [private events](https://withjoy.com/help/en/articles/8343454-using-the-private-events-feature)).

On the guest list itself: you import a CSV that matches Joy's template, with one guest per row, a Party column to group households and a Tags column ([Joy: import and export](https://withjoy.com/help/en/articles/8309207-importing-and-exporting-your-guest-list)). When a guest RSVPs under a nickname and shows up twice, the Merge Duplicates button combines the two and keeps the RSVP answers if you select the right row first ([Joy: merge duplicates](https://withjoy.com/help/en/articles/8310170-merge-duplicate-guests)). Collaborators get full access except deleting the website ([Joy: collaborators](https://withjoy.com/help/en/articles/8314028-inviting-a-collaborator)), and you can export everyone or a selection as CSV.

For families with relatives in India, Pakistan or the UK, Messaging Plus sends SMS to US and Canadian numbers and WhatsApp to every other number, and won't retry by SMS if a number isn't on WhatsApp ([Joy: Messaging Plus](https://withjoy.com/help/en/articles/14480210-send-text-messages-to-your-guests-with-messaging-plus)). Seating, a budget tracker and vendor quotes aren't covered on the pages we checked, so plan to run those elsewhere.

## 3. Zola: best for importing a messy spreadsheet

- **Best for:** Couples with a half-finished spreadsheet who want it imported fast, with a registry in the same account and one or two side events.
- **Cost:** Texting your whole guest list needs a paid plan ([Zola help](https://www.zola.com/faq/how-does-zolas-premium-guest-messaging-feature-work)).
- **Beats PlanMe on:** AI import of unformatted spreadsheets and public Google Sheets, a built-in Maybe list, and a registry with cash gifts ([Zola registry](https://www.zola.com/wedding-registry)).

Zola's flexible import uses AI to read your spreadsheet as it is, without reformatting it to a template, and can pull in a public Google Sheet ([Zola: AI import](https://www.zola.com/faq/what-is-the-ai-flexible-guest-list-import-tool)). Its guest list separates "Definitely Invited" from a "Maybe" list, which is handy for an A list and a B list ([Zola: guest list tool](https://www.zola.com/faq/115002148572-what-is-the-guest-list-tool-)).

For several events, you tick which events each guest is invited to, and guests can only RSVP to those ([Zola: who's invited](https://www.zola.com/faq/360002580111-how-do-i-choose-who-s-invited-to-my-events-), [multiple events](https://www.zola.com/faq/115003103872-can-i-collect-rsvps-for-multiple-events-)). The catch for a Desi weekend is what guests see. A private event is hidden from the schedule page for everyone, invited guests find it on the RSVP page after searching their names, and Zola says it has no option yet to show events to select guests on the schedule ([Zola: private events](https://www.zola.com/faq/360003210671-what-is-a-private-event-and-who-can-see-it-on-my-website-)).

You can invite one partner to the account, and Zola doesn't offer planner-specific logins ([Zola: planner login](https://www.zola.com/faq/115002422171-can-my-wedding-planner-have-a-login-to-my-zola-account-)). Guest messaging lets you group guests by relationship or event attendance ([Zola: guest messaging](https://www.zola.com/wedding-planning/guest-messaging)), but texting works only with US phone numbers for now ([Zola: texting outside the US](https://www.zola.com/faq/does-the-premium-guest-messaging-work-outside-of-the-united-states)). One more thing to know: on October 14, 2026, The Knot Worldwide [announced an agreement](https://www.theknotww.com/press-releases/the-knot-worldwide-to-welcome-zola-to-its-portfolio-shaping-the-future-of-wedding-planning) for Zola to join its portfolio. As of November 3, 2026, the deal is subject to closing conditions and both are to stay separate consumer brands.

## 4. Phera: best when the weekend runs on WhatsApp

- **Best for:** Desi destination weddings where guests answer WhatsApp, not email, and someone has to sort rooms and airport pickups.
- **Cost:** As of November 2026: free tier; Base is $349 one-time per wedding and White Glove $599 one-time per wedding ([Phera](https://www.phera.io/)).
- **Beats PlanMe on:** WhatsApp outreach and a 24/7 WhatsApp guest concierge, room assignments, airport pickups and shuttles, and vendor search in destination cities.

Phera is built for Indian weddings by a couple who planned their own destination wedding. As of November 2026, its free tier lists a wedding website, guest list management, RSVPs, guest-level event access control, custom RSVP questions, a task manager and multi-user collaboration. The paid Base plan adds WhatsApp outreach and a guest concierge, room assignments, transportation and vendor management, and Phera says nothing is sent without your approval ([Phera](https://www.phera.io/)).

What we couldn't confirm from Phera's public pages: how it handles duplicates on import and what the guest list export includes. If your guest list is the main job, test those two with a small batch before you move everyone. If your relatives live on WhatsApp and you need room and pickup logistics too, this is the one built around that.

## 5. The Knot: best if you're still hiring vendors

- **Best for:** Couples still booking vendors who want a free guest list in the same account, for a wedding where most guests go to most events.
- **Cost:** Guest List Manager free ([The Knot](https://www.theknot.com/content/guest-list-manager-sending-one-invitation-to-multiple-guests)).
- **Beats PlanMe on:** Its vendor marketplace ([The Knot Worldwide](https://www.theknotww.com/press-releases/the-knot-worldwide-to-welcome-zola-to-its-portfolio-shaping-the-future-of-wedding-planning)) and an address collection form that fills your list for you.

The Knot calls its Guest List Manager "a record-keeping feature." You can invite guests to as many events as you like by ticking them per event ([The Knot: add guests to an event](https://helpcenter.theknot.com/hc/en-us/articles/20630336285972-How-do-I-add-guests-to-an-event)) and manage RSVP collection for each event ([collect RSVPs](https://helpcenter.theknot.com/hc/en-us/articles/360042696652-How-do-I-collect-RSVPs-through-my-Guest-List)). Guests come in one by one, by pasting from The Knot's spreadsheet template, or through an address collection link that adds them to your list as they fill it in, and you can download the full list, address labels or RSVP responses ([The Knot: Guest List Manager](https://www.theknot.com/content/guest-list-manager-sending-one-invitation-to-multiple-guests)).

For a Desi weekend, three things get awkward. A private event never shows on the website and appears only in the RSVP pop-up, with just the name, time, location, description and attire ([private events](https://helpcenter.theknot.com/hc/en-us/articles/20578653194772-How-do-private-events-work)). Duplicates are found and deleted by hand ([same help page](https://helpcenter.theknot.com/hc/en-us/articles/20630336285972-How-do-I-add-guests-to-an-event)). And as of November 2026, you and your partner share one email and password, with multi-user access described as coming ([share an account](https://helpcenter.theknot.com/hc/en-us/articles/360042318272-Can-my-fianc%C3%A9-and-I-share-an-account)). Messaging is by email or text from templates, to the guests you pick ([message guests](https://helpcenter.theknot.com/hc/en-us/articles/50638760373780-How-do-I-message-guests)).

## Do you need a separate RSVP app for multiple events?

Usually not. "Best RSVP app for multiple events" and "best wedding guest list manager" are the same question asked from two ends: the RSVP is only as good as the list behind it. If your guest list lives in one tool and RSVPs in another, every change (a cousin's new partner, a household moved from reception-only to everything) has to be made twice, and the headcount drifts.

A separate RSVP tool makes sense in two cases:

- Your invitations already point to a website you can't change, and that site can't hide events. Keep the site for information and send each household its own RSVP link from the guest list tool.
- Texting is the job, and your main tool can't reach your relatives' countries. Then the messaging tool matters more than the list tool.

For the RSVP setup itself (questions per event, deadlines, reminders), see [RSVPs for a multi-event wedding](https://www.planme.club/articles/wedding-rsvp-multiple-events); for websites only, our [best wedding website for multiple events](https://www.planme.club/articles/best-wedding-website-multiple-events).

## Importing a family spreadsheet without duplicates

Whichever tool you pick, the import is where guest lists tend to go wrong. Here's the order that works, with a fictional example: Anaya's family sends a sheet with 260 names, Rohan's family sends 240, and about 40 family friends appear on both.

1. **Merge into one sheet before any tool sees it.** One row per person, never a couple squeezed into one cell. Joy, for one, needs each guest on their own row ([Joy: import](https://withjoy.com/help/en/articles/8309207-importing-and-exporting-your-guest-list)).
2. **Add four columns:** household (the same value for everyone in a family), side (bride's, groom's, both), phone with country code, and an invited column for each event. Our [Indian wedding guest list template](https://www.planme.club/articles/indian-wedding-guest-list-template) guide explains each column.
3. **Catch the obvious repeats yourself.** Sort by last name, then by phone number. A family listed by full names on Anaya's sheet and as one "Uncle" entry on Rohan's is usually the same household. Mark the 40 overlaps as side "both" and keep one row each, which takes the list from 500 rows to 460.
4. **Check the total against the venue.** If 460 is more than the reception hall holds, cut by tier now, not after invitations go out.
5. **Import once, then let the tool catch the rest.** Spelling variants slip through by hand. PlanMe flags duplicates as you import; in Joy you merge them after; in The Knot you delete them.
6. **Test three households before inviting anyone.** A family of four with mixed answers, a reception-only colleague, and a mehndi-only neighbor. Open each one's RSVP as the guest would and check what they see.

Merged list bigger than the venue?

Enter your venue cap, your merged guest count and your tiers (immediate family, extended family, family friends, work), and the guest list cut calculator shows how many guests to cut and which tiers still fit, right on the page. No sign-up.

## How to choose in an evening

Every tool here has a free way in, so don't choose from a table, ours included. Pick your top two, import the same 20 rows into each, and run the seven checks. You'll usually know within an hour. A few rules of thumb:

- If nearly everyone is invited to everything and the one private event is small, the website you like best is fine. The Knot's pop-up or Zola's RSVP page will do for a family-only haldi.
- If uninvited guests must not see the other events, use a tool that hides them from the schedule too: Joy, or a private RSVP link per household as in PlanMe.
- If texting relatives abroad decides it, look at Joy's Messaging Plus or Phera.
- If two families and a planner are all editing, rule out anything that needs a shared password.

Comparing two tools head to head? See [PlanMe vs Joy](https://www.planme.club/articles/planme-vs-joy), [PlanMe vs Zola](https://www.planme.club/articles/planme-vs-zola) or [Joy vs Zola vs The Knot](https://www.planme.club/articles/joy-vs-zola-vs-the-knot-multi-event). The [comparison hub](https://www.planme.club/compare) has every tool in one table.

Run the seven checks on PlanMe with your own list

Import your merged spreadsheet (duplicates are flagged as you import), group households, tag each family side, add each event once and invite every household to just their events. Then open one household's RSVP link and see what they see. Free during beta.

## Common questions

### What is the best wedding guest list manager for multiple events?

For a wedding with three or more events and lists that overlap, pick a tool that keeps one master list, invites each guest to some events and not others, and gives each event its own accepted, declined and pending count. PlanMe, Joy, Zola, The Knot and Phera all do the per-event part. They differ on what uninvited guests can see, whether both families get their own logins, how duplicates are handled and where texting works. PlanMe fits when you want guests, RSVPs, seating, budget and family logins in one plan; Joy when you want a polished free site with a personalized schedule; Phera when the weekend runs on WhatsApp.

### Is there a free wedding guest list manager that handles several events?

Yes. Joy says its guest list manager, website and registry are free, and The Knot says its Guest List Manager is free. Zola needs a paid plan to text your whole guest list. As of November 2026, Phera has a free tier with guest list, RSVPs and event-level access, with WhatsApp outreach in its paid Base plan. PlanMe is free during beta; paid plans are planned and pricing isn't final.

### Do Joy and Zola support RSVPs for more than one event?

Yes, according to their own help centers. Joy lets you show each event and its RSVP questions only to the guests or tags you choose, so each guest sees a personalized schedule. Zola lets you tick which events each guest is invited to, and guests can only RSVP to those events.

### How do I stop duplicate guests when both families send their own lists?

Merge the lists in one file first, with one row per person, a household column and a side column, then import once. Sort by last name and phone number to catch the obvious repeats. After that, rely on the tool: PlanMe flags duplicates as you import, Joy has a Merge Duplicates button that keeps RSVP answers, and The Knot's help center says to select the duplicate and delete it.

### Can both families edit the same wedding guest list?

It depends on the tool. Joy lets you invite collaborators with full access except deleting the site. Zola lets you invite one partner and has no planner-specific logins. As of November 2026, The Knot has one shared login per couple and says multi-user access is in the works. Phera lists multi-user collaboration on its free tier. PlanMe lets you invite family, a planner or vendors by email and choose which parts of the plan each person can use.

### Which guest list manager can text relatives outside the US?

Joy's paid Messaging Plus sends SMS to US and Canadian numbers and WhatsApp to every other number. Phera's paid Base plan includes WhatsApp outreach. Zola's guest texting works only with US phone numbers for now. PlanMe sends email and SMS broadcasts filtered by guest tag or RSVP status, but not WhatsApp, so check delivery to your relatives' countries before you rely on it.

### Should I avoid Zola or The Knot because of the acquisition?

Not necessarily. The Knot Worldwide announced on October 14, 2026 that it has agreed for Zola to join its portfolio. As of November 3, 2026, the deal is subject to closing conditions, and both companies say The Knot and Zola will continue as separate consumer brands. Whichever you use, export your guest list and RSVP answers now and then, so your data never lives in only one place.
