Your first event and cut-offs

For example the mehndi or welcome dinner
From your catering contract
From your hotel contract. 0 if no block
Time to call people who haven't answered

For a multi-day wedding, count back from the first event: its caterer and the hotel check-in come before the rest of the weekend.

How the calculator works

  1. Step 1: Pick your first event

The first function of the weekend, such as the mehndi or welcome dinner, not the wedding day.

  2. Step 2: Add your cut-offs

When the caterer needs a final headcount and when the hotel releases the block, plus a buffer for late replies.

  3. Step 3: Read your RSVP-by date

The latest safe date to print on the invitation and website, and when to send a reminder.

Counting back from the first event:

RSVP-by = first event − earlier cut-off − buffer

One deadline, replies for every event

In PlanMe, each event is called a festivity. Invite each household to the festivities they are asked to, set your response deadline on the RSVP page, and see who is coming to each festivity as replies arrive. After the deadline, the RSVP form stops taking new replies.

Finding your cut-offs

Your contracts set the real deadline, not etiquette. According to Zola's RSVP guide (checked October 23, 2026), caterers and venues typically want a final headcount 2 to 4 weeks before the event, and a standard RSVP deadline is 3 to 4 weeks out. Zola also suggests giving yourself an extra week to follow up with people who have not answered, which is the default buffer here.

If you have a hotel block, its cut-off usually comes first. The Knot's hotel block guide (checked October 23, 2026) puts the typical cut-off at 30 days before check-in. Enter the number from your own contract; some hotels release earlier. To size the block itself, use the hotel room block calculator.

In the Anaya & Rohan example, the mehndi is on Friday, March 5, 2027, the caterer wants numbers 14 days before and the hotel releases the block 30 days before. The hotel sets the limit, so with a 7-day buffer they ask guests to RSVP by Wednesday, January 27, 2027, and send a reminder on January 20.

Wedding RSVP deadline questions

When should the RSVP deadline be for a wedding?

Zola's RSVP guide suggests a deadline 3 to 4 weeks before a standard wedding, and a final guest count 6 to 8 weeks ahead for a destination wedding. The real limit is your vendors: Zola notes that caterers and venues typically want the final headcount 2 to 4 weeks before. Put your RSVP date ahead of the earliest cut-off, with time to chase late replies.

How does the RSVP deadline calculator work?

RSVP-by date = first event date − the earlier of your caterer headcount and hotel block cut-offs − a buffer for late replies. For Anaya & Rohan, the mehndi is on Friday, March 5, 2027. The caterer wants numbers 14 days before and the hotel block releases 30 days before, so the hotel sets the limit. With a 7-day buffer, they ask guests to RSVP by Wednesday, January 27, 2027, and send a reminder on January 20.

How do I set an RSVP deadline for a multi-day wedding?

Use one deadline for the whole weekend and count back from the first event, not the wedding day. The mehndi or welcome dinner has the earliest caterer cut-off, and the hotel cut-off is counted from check-in, which is usually before the first event. One date is also easier for guests to remember than a different date per function. Our guide to RSVPs for multiple wedding events covers the rest.

Should the RSVP deadline be before the hotel block cut-off?

Yes. The Knot's hotel block guide puts the typical cut-off at 30 days before check-in, after which unbooked rooms go back on general sale. An RSVP date before that gives you time to add or release rooms once you know who is coming.

When should I send RSVP reminders?

Zola suggests a gentle reminder about one week before the RSVP due date, and a follow-up the day after it for anyone still pending. The calculator shows the one-week reminder date under your RSVP-by date.

Is the calculator free, and is my data saved?

Yes, it is free and needs no sign-up. It runs in your browser and nothing is uploaded. Your last entries are kept on this device only.
