Indian wedding catering headcount calculator, by diet
Turn yes counts into plate counts for each event: veg, Jain, halal, kids and regular. No sign-up.
Prefilled with an example for Anaya & Rohan (four events). Change any number.
Confirmed yes guests per event
Use confirmed RSVPs, or an estimate from the attendance calculator. Set an event to 0 to leave it out.
Diet mix (share of yes guests)
Regular non-veg is whatever is left after veg, Jain, halal and kids (40% in this mix). The mix is yours to set; there is no published average for Indian weddings behind these defaults.
How the calculator works
Step 1: Enter yes guests per event
Confirmed RSVPs for the mehndi, sangeet, ceremony and reception, or an estimate if replies are still coming in.
Step 2: Set the diet mix
Share of guests who need vegetarian, Jain, halal or kids plates. The rest is regular non-veg.
Step 3: Read the plate counts
Per event and by diet, ready to send each caterer. Then collect real meal choices in PlanMe.
For each event and each diet line:
plates = yes guests × diet share (+ vendor meals + optional buffer)
Collect the real meal choices
In PlanMe, each event is called a festivity. Ask meal and dietary questions once per guest on the RSVP form, then read accepted counts per festivity before you send the caterer sheet. PlanMe is free during beta.
What to put on the caterer sheet
A caterer does not want your full RSVP spreadsheet. The Knot's final headcount guide (checked October 24, 2026) reminds couples to count themselves, include vendors who will be fed, and ask each vendor how late it can add plates. Send a short sheet per event: adults, children, meals by type, allergies by name and vendor meals.
The diet mix here is yours to set. There is no published average share of vegetarian, Jain or halal guests for Indian weddings that we could verify, so the Anaya & Rohan defaults are an example only. If your families are mostly vegetarian, raise that share; if one side needs halal meat, put that share in and keep Jain on its own line so the kitchen can prep separately.
In the example, the reception has 256 yes guests. With 40% veg, 4% Jain, 8% halal and 8% kids, that is about 102 vegetarian, 10 Jain, 20 halal, 102 regular non-veg and 20 kids plates, plus 12 vendor meals — 266 plates for that event alone. Estimate yes counts first with the Indian wedding guest attendance calculator, then price the weekend with the Indian wedding budget calculator.

Wedding catering headcount questions
How do I calculate catering headcount for an Indian wedding?
Start from the confirmed yes count for each event, not one number for the whole weekend. Split that count by diet (vegetarian, Jain, halal, kids, regular non-veg), add vendor meals, and send each caterer its own short sheet. The Knot's final headcount guide also reminds couples to count themselves and ask how late the caterer can add plates.
How does the catering headcount calculator work?
For each event, plates = yes guests × each diet share, rounded, plus vendor meals and an optional buffer. Regular non-veg is whatever share is left after vegetarian, Jain, halal and kids. In the Anaya & Rohan example, 256 yes guests at the reception with 40% veg, 4% Jain, 8% halal and 8% kids become about 102 veg, 10 Jain, 20 halal, 20 kids and 102 regular plates, plus 12 vendor meals.
Why does each event get its own plate count?
Indian weddings often use different caterers and menus for the mehndi, sangeet, ceremony and reception, and the guest list changes at each one. A caterer wants a short sheet for its event only: adults, children, meals by type, allergies by name and vendor meals.
What is the difference between vegetarian and Jain plates?
Vegetarian plates exclude meat and fish. Jain plates are stricter: no onion, garlic or root vegetables, and often a separate prep line. Count Jain separately so the kitchen can label and serve them apart from the general vegetarian dishes.
When should I give the caterer the final headcount?
Check your contract. The Knot's headcount guide puts many final counts about two weeks before the event, but some venues want numbers earlier. Put your RSVP deadline ahead of that date so you have time to chase late replies. The wedding RSVP deadline calculator counts back from your first event.
Is the calculator free, and is my data saved?
Yes, it is free and needs no sign-up. It runs in your browser and nothing is uploaded. Your last numbers are kept on this device only.
