Getting started
What PlanMe.Club is, what it costs and what your clients need.
What does PlanMe.Club do for an event planner?
It gives every client event its own planning workspace: festivities, guest list, per-festivity RSVPs, budget and payments, vendor quotes, checklist and an event website. You invite your team and your client into that workspace and decide what each person can see and edit.
How much does it cost for planners?
Nothing during beta. Planners get every feature, with no credit card and no limit on the number of events or guests. Paid plans are planned, but pricing isn't final yet. It will be published on the pricing page when it is.
What kinds of events can I run in it?
When you create an event you choose wedding, party, conference, concert or other, and you can name your own type under other. The product is designed around multi-day South Asian weddings with several festivities, such as a mehndi, sangeet, wedding and reception.
Do my team or my clients need to install anything?
No. PlanMe.Club runs in the browser on a phone, tablet or laptop. There is no separate mobile app to download.
Running several clients
How one account handles many weddings and events at once.
Can I manage several clients from one account?
Yes. Each client's wedding or event is a separate event in your account, with its own festivities, guests, budget, vendors, checklist and website. You move between them from your events list.
Can I see every client's dates in one place?
Yes. The Master Calendar, opened from the navigation bar, puts all your events on one calendar: each event's dates, its festivities, calendar entries, payment due dates and task due dates.
Is each client's information kept separate?
Yes. Guests, budgets, vendor quotes and tasks belong to one event. Team members and clients are invited to a specific event with a role for that event, so inviting someone to one wedding doesn't give them access to your other clients.
Can I reuse my usual setup for a new client?
Yes. Save an event as a template from its settings, then pick that template when you create the next event instead of starting from a blank one.
Is there a client portal, white-label branding or client invoicing?
Not as separate products. There is no client portal, white-label branding or client invoicing. What you get instead is simpler: your client joins their own event with exactly the access you choose, so they see the same live guest list, schedule and budget your team works from. For proposals, contracts and invoicing, keep your existing business tools alongside it.
Your team and your clients
Inviting people, roles and permissions, and sharing the work.
How do I add my team to an event?
Invite each person by email and choose their role. They join through the invitation link. You can resend or revoke an invitation that hasn't been accepted, and unused invitations expire.
How do roles and permissions work?
You create the roles for each event, such as Coordinator or Family, and tick which parts of the event each role can use: festivities, guests, RSVPs, forms, messaging, vendors, budgets and payments, checklist, calendar, hotels, website and members. Access is set per area of the event, not per festivity.
Can the couple or their family work in the event with me?
Yes. Invite them by email like any team member and give them a role. For example, a family role could cover only the guest list and RSVPs, while budgets and vendor quotes stay with you.
Can I assign tasks to people?
Yes. Checklist tasks have assignees, due dates, priority, status, tags and subtasks, so everyone can see what they own and when it is due.
Do vendors get their own login?
There is no separate vendor account, but vendors don't have to be left out. Invite a vendor into the event by email with a role limited to what they need, such as vendor quotes, and keep every quote's amount and status in one place.
Guests, RSVPs and websites
Bringing in a client's guest list, collecting replies festivity by festivity and seating guests.
How do I bring in a client's existing guest list?
Upload it as a CSV or Excel file. Guests can then be grouped into families or households with a head guest and tagged, for example by family side.
Can guests be invited to some festivities and not others?
Yes. Invitations are set per guest and per festivity, and each festivity keeps its own status for every guest: invited, accepted or declined. Guests only see the festivities they're invited to.
How do guests receive invitations and RSVP?
Send invitations by email or SMS, share a family's personal invitation link, or point guests to the event website. You can also generate RSVP QR codes in bulk. Custom forms add your own questions, such as meal choice or dietary needs.
Can I send invitations over WhatsApp?
Not directly. PlanMe.Club sends invitations by email and SMS. Every family also has a personal invitation link and every event website has its own address, so you can paste either into WhatsApp, and guests RSVP from there.
Can I make a seating chart for each festivity?
Yes. Each festivity has its own seating chart. Place round or rectangular tables with the number of seats you need, add the stage, dance floor, bar, buffet, entrance and walkways, then seat guests from your guest list, filtered by RSVP status or tag. Export the floor plan as a PDF and the seating list as a PDF or CSV to send to the venue.
Does each client get an event website?
Yes. Every event can have a website that you keep in draft until it's ready to publish. Sections include the schedule, travel, the couple's story, a gallery, dress code, FAQs and an RSVP button. Custom domains aren't available, but every website gets its own address on planme.club that you name when you publish, such as planme.club/s/anaya-and-rohan, and PlanMe.Club checks that the name is free.
Can I track guest hotel stays?
Yes. Add the hotels and their room types, then record which family is staying where, with the room type, number of rooms, check-in and check-out dates, and the festivities the stay covers.
Budgets and vendors
Keeping a client's money and vendor quotes in one place.
How do I track a client's budget?
Organise spending into budget categories and give each festivity its own budget. Record every payment with its amount, how much has been paid and the due date, and see whether it is paid, partly paid or pending.
How are vendor quotes handled?
Record each quote under a vendor category with the vendor's name, the amount, notes and any custom fields you need, then mark it pending, negotiating, approved or rejected. PlanMe.Club is not a vendor marketplace, so you bring your own vendors.
Can I switch off the parts a client doesn't need?
Yes. Each event's settings let you turn individual modules on or off, such as hotels, menus, forms, messaging, vendors or payments, so a smaller event only shows what it uses.
