Event planning software for planners who run more than one event

PlanMe gives every event you run its own workspace, splits it into parts like a welcome dinner, a workshop day and a closing lunch, and tracks a separate guest list, RSVP and schedule for each part. A Master Calendar shows every client's dates, payments and tasks together, templates let you start the next event from the last one, and roles decide what your team and clients see. The problem

Where planning usually breaks

  • Every event is a new spreadsheet

Each client gets a fresh copy of last year's sheet, and the checklist, run of show and vendor list drift apart from the start.

  • One headcount for a multi-part event

A retreat or conference has dinners, sessions and outings that not everyone attends, but a single RSVP form gives you one number for all of them.

  • Clients and staff need different views

The client wants the guest list, the caterer wants the menu, and nobody outside your team should see the budget.

  • Dates scattered across tools

Payment due dates, vendor deadlines and event days for several clients live in different calendars and inboxes.

How PlanMe helps

What planners use in PlanMe

  • A Master Calendar across events

Event dates, calendar entries, payment due dates and task due dates for every event in your account, on one month, week or day view.

    Checklist and calendar
  • Start from your own template

Save a finished event as a template. The next one starts with its parts, schedules, menus, tasks, forms, RSVP setup and roles; guests and payments never carry over.

    Event templates
  • Each part of the event planned on its own

Every dinner, session or outing gets its own date, venue, menu and minute-by-minute schedule with people assigned, and the run of show exports by person.

    Festivities
  • Roles you define

Create roles, tick which modules each one can use, and invite your team, your client and vendors by email.

    Team and roles
  • Sign-ups through one link

Share a public request-to-join link. Attendees pick the parts they plan to attend and verify their email or phone, and you approve each request.

    Request to join
  • Email and SMS by RSVP status

Message everyone, a tag such as Speakers, or only the people who haven't replied, from the guest list.

In practice

Example: a three-day leadership retreat

A planner running a retreat for 42 people sets up four parts: a welcome dinner, a workshop day, an afternoon outing and a closing lunch. Each part has its own time, venue and schedule, and attendees RSVP to each one separately, so the outing count and the dinner count are never the same number guessed twice.

A Dietary Preferences form collects allergies before the dinner menu is final, the seating chart for the dinner is built from the guest list, and the client gets a role that shows guests and RSVPs but not the budget. When the retreat is done, the planner saves it as a template for the next client.

Questions

Common questions

See every module on the features page.

Is PlanMe only for weddings?

No. When you create an event you choose Wedding, Party, Conference, Concert or Other. Every event can be split into parts with their own guests, RSVPs, menu, seating and schedule, which suits retreats, conferences and multi-day celebrations as much as weddings.

Can I manage several clients' events in one account?

Yes. Each event keeps its own guests, budget and vendors, and the Master Calendar shows the dates, payment due dates and task due dates of every event in your account together.

Can attendees RSVP to some sessions and not others?

Yes. You invite each guest or household to the parts of the event they are attending, and each part keeps its own accepted, declined and pending count. Guests only see the parts they were invited to.

Can my client see the plan without seeing the budget?

Yes. Roles are set per event, so you can give a client access to guests and RSVPs while budgets and vendor quotes stay with your team.

Does PlanMe replace my CRM or invoicing tool?

No. PlanMe is the planning workspace you share with your team and clients. Keep your current tools for leads, proposals, contracts and invoicing.

How much does PlanMe cost?

PlanMe is free during beta, with no credit card needed.
